Key Role for a High-Performing Executive Assistant

The role of an Executive Assistant is pivotal in supporting senior leaders in their busy schedules. In this position, you will provide top-level support and act as the trusted right-hand to the executive, ensuring seamless management of their calendar, inbox, and priorities.

  • About the Client:

The client is a global philanthropic network dedicated to mobilizing funders to end the HIV/AIDS pandemic and advance health equity, human rights, and justice. With a mission-driven approach, they connect foundations, corporate charities, and philanthropic-serving organizations to strengthen the impact of HIV-informed funding.

  • Key Responsibilities:
  1. Manage and optimize the executive's schedule to ensure alignment with strategic priorities
  2. Anticipate and prevent scheduling conflicts, balancing professional commitments with personal well-being, particularly during travel periods
  3. Coordinate scheduling of meetings, including recurring calls such as staff meetings, one-on-ones, and biweekly donor meetings
  4. Prepare for regular meetings, including board meetings and working groups, by ensuring timely distribution of agendas and calendar reminders
  5. Protect time for internal staff meetings to maintain effective communication and collaboration
  • Required Skills and Qualifications:
  1. Proven experience supporting C-level executives or senior leadership in fast-paced environments
  2. Background working with nonprofit organizations or mission-driven entities is highly preferred
  3. Strong leadership skills with the ability to take initiative and work independently
