Job Description

The Office Associate will be responsible for managing requests for billing, preparing service proposals, monitoring project progress, and handling HR and administrative tasks. This role also includes supporting Health, Safety, and Environment (HSE) initiatives, coordinating annual activities, assisting with TFA requirements for bids, and performing various clerical duties to ensure efficient office operations.

  • Service Proposal & Project Monitoring:
    • Prepare service cost estimates, consolidate service proposals, assign project numbers, and draft follow-up letters for purchase orders.
    • Scan and send approved proposals to the proponent via email.
    • Monitor actual expenses per project and track unpaid billings.
    • Oversee hold/deferred projects with incurred expenses.
    • Prepare billing requests and required attachments for evaluation.
    • Draft and send follow-up letters for accounts receivables.
  • Coordination & Support:
    • Coordinate with HR & Admin, and Health, Safety, and Environment (HSE) departments by attending relevant meetings and addressing concerns.
    • Provide project codes for consultants' timesheets.
    • Prepare monthly schedules for staff and consultants' site visits in coordination with the HSE department.
  • Other Clerical Tasks:
    • File and secure both printed and digital copies of purchase orders, service proposals, and service billings.
    • Prepare the annual budget and conduct internal audits.
