Front Desk Coordinator

Job Summary:
We are seeking a highly skilled and organized Front Desk Coordinator to join our team at Guangdong Hotel. As the first point of contact for internal and external clients, you will be responsible for providing exceptional customer service and support.
Main Responsibilities:
- Direct and respond to phone calls in a professional and courteous manner.
- Organize and schedule appointments for senior managers and guests.
- Plan and coordinate meetings, taking detailed minutes as required.
- Prepare and distribute email correspondence, memos, letters, faxes, and forms.
- Assist in the preparation of regularly scheduled reports.
- Maintain a well-organized filing system, ensuring all documents are up-to-date and easily accessible.
- Update and maintain office policies and procedures, ensuring compliance with company standards.
- Research and order office supplies, negotiating deals and suppliers where possible.
- Maintain accurate contact lists, ensuring all information is up-to-date.
- Book travel arrangements for senior managers and guests.
- Submit and reconcile expense reports in a timely manner.
- Provide general support to visitors, ensuring their needs are met promptly and efficiently.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Requirements:
- Exceptional communication and interpersonal skills.
- Highly organized and able to prioritize tasks effectively.
- Proficient in Microsoft Office and other relevant software.
- Able to maintain confidentiality and handle sensitive information discreetly.
- Friendly and approachable demeanor, with a strong focus on customer satisfaction.
