We are seeking a dedicated and detail-oriented professional to join our team as a Senior Executive Assistant. The ideal candidate will possess a strong background in accounting and business operations, with the ability to monitor business listings, communicate with sellers, and provide administrative support.
The successful candidate will be responsible for managing business listings, drafting correspondence, and assisting with daily administrative tasks. In addition, they will handle accounts payable functions, including invoice processing, vendor management, and payment scheduling, as well as manage accounts receivable processes, including billing, collections, and reconciliations.
- Key Responsibilities:
- Monitor and manage business listings across platforms.
- Communicate with business sellers through professional calls and emails.
- Draft, proofread, and send correspondence with flawless English grammar and tone.
- Assist with daily administrative and executive support tasks.
- Handle Accounts Payable functions, including invoice processing, vendor management, and payment scheduling.
- Manage Accounts Receivable processes, including billing, collections, and reconciliations.
- Maintain accurate financial records and support bookkeeping tasks as required.
- Prepare reports, maintain organized documentation, and ensure deadlines are met.
- Requirements:
- Prior experience as an Executive Assistant or Administrative Assistant is highly preferred.
- Solid knowledge of Accounts Payable and Accounts Receivable processes.
- Experience with accounting software (e.g., QuickBooks, Xero).
- Familiarity with CRM systems or business listing platforms.
- Excellent verbal and written communication skills in English.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other productivity tools.
