Professional Services Coordinator

As a Business Support Administrator at WSP Manila, Inc., you'll be part of a dynamic team that thrives on challenge and unconventional thinking. We're seeking a highly skilled individual to join our national team of administration professionals.
Your main responsibilities will include:
- Ensuring compliance with all role-specific HSE obligations (Safety)
- Providing technical group assistance, including timesheet and expense review, project procurement assistance, and resource scheduling.
- Organising, attending, and contributing to group meetings, taking minutes, and following up on actions as required.
- Supporting the onboarding process for new starters.
- Managing the technical group's equipment register and coordinating calibrations and maintenance as needed.
- Monitoring, self-assigning, and completing national administration tasks via the Business Support Centre.
- Preparing project reports and presentations, ensuring consistency, quality, and version control using WSP required templates and styles.
- Assisting with tender preparations, gathering insurances, certificates, CV preparation, and client reports.
- Coordinating travel arrangements (flights, hotels, cars etc.) in accordance with company Travel Guidelines and obtaining necessary approvals.
- Supporting employee and project office mobilisation requirements, including site and office-based resources, medical bookings, client/site inductions, and training courses.
- Providing UBW (financial system) assistance, including project procurement, opportunity creation, and account reconciliation.
- Entering data into gINT.
- Supporting leave cover for other Business Support Administrators.
To succeed in this role, you'll need:
- A minimum of 3+ years of administrative experience.
- Strong communication and interpersonal skills.
- Ability to multitask, prioritise, and meet deadlines.
- Self-sufficiency, high organisation, and excellent time management skills.
- Intermediate to advanced skill level across Microsoft Office suite (Word, PowerPoint, Excel, and Outlook).
- Familiarity with Office 365, including SharePoint and OneDrive for Business.
