
Highly Organized Administrative Support Specialist

We are seeking a highly organized and detail-focused Administrative Support Specialist to join our team. In this role, you will provide exceptional support to our directors and play a key part in driving our business forward.
Your primary responsibility will be to assist with the preparation of client proposals and engagements, ensuring they align with our brand and content guidelines. You will also be responsible for managing the directors' calendars, scheduling meetings, prioritizing tasks, and ensuring time is effectively allocated.
Additionally, you will be tasked with organizing travel arrangements, including flights, accommodation, and itineraries. You will draft and proofread emails, reports, contracts, and client communications.
You will also conduct online research and data collection for client projects.
Key Responsibilities:- Executive & Administrative Support
- Assist in preparing client proposals and engagements, ensuring they align with brand and content guidelines.
- Manage the Directors' calendars, scheduling meetings, prioritizing tasks, and ensuring time is effectively allocated.
- Organize travel arrangements, including flights, accommodation, and itineraries.
- Draft and proofread emails, reports, contracts, and client communications.
- Project & Operations Management
- Set up and manage client projects in Asana, tracking tasks and deadlines.
- Generate client progress reports and draft invoices.
- Tech & Systems Management
- Maintain and organize company files and documentation within Google Workspace (Docs, Sheets, Slides, Drive).
Requirements:
- Minimum 4+ years experience in an administrative, executive assistant, or similar role.
- Project management experience: Asana experience preferred.
- CRM experience (Hubspot preferred) for managing contacts and outbound messaging.
- Google Workspace (Docs, Sheets, Slides, Gmail, Drive) competence.
- Canva skills for content creation and light design work.
- Marketing tech tools knowledge (email automation, CRM integrations, LinkedIn outreach).
- Strong written and verbal communication skills in English.
- Ability to work independently, manage remote tasks, and take ownership of responsibilities.
- Strong attention to detail, organization, and project management skills (Asana preferred).
