Reception and Intake Specialist Job Summary

The Reception and Intake Specialist role is a pivotal position within the organization, serving as the initial point of contact for clients, prospects, and community members.

  • This critical role involves managing client requests, inquiries, and support needs; responding to emails; resolving issues; providing copies of documents; and updating customer relationship management systems. Trained to handle 90% of matters independently.
  • Responsibilities include responding to incoming messages via the general email inbox within one business day.
  • Gathering information via phone and completing intake forms; calls will be inbound/outbound. Following up with prospective clients via email and notifying next steps; scheduling non-attorney meetings or referring to another firm.
  • Answering approximately 25 inbound calls per day; building caring and patient rapport with clients aged 55+.
  • Scheduling/confirming appointments and following up with leads via approximately 25 outbound calls per day.
Ideal Candidate Profile
  • Two years of experience in the BPO industry.
  • Two years of working night shifts.
  • Demonstrating a learning mindset, compassion, patience, and reliability.
