The role of an Executive Support Specialist involves managing business listings, communicating with sellers through professional calls and emails, and providing administrative assistance.

Responsibilities:
  • Manage business listings across multiple platforms, ensuring accuracy and consistency.

  • Prepare and edit correspondence to ensure flawless grammar and tone.
  • Support daily administrative tasks and executive functions, prioritizing deadlines and goals.
  • Process invoices, manage vendor relationships, and schedule payments for accounts payable.
  • Oversee accounts receivable processes, including billing, collections, and reconciliations.
  • Maintain accurate financial records, provide bookkeeping support as needed, and prepare reports on time.
Requirements:
  • Proven experience in an Executive Assistant or Administrative Assistant role, with a strong background in administration and support.
  • Previous experience in an accounting firm is highly desirable.
  • Knowledge of accounts payable and accounts receivable processes is essential.
  • Proficiency in accounting software, such as QuickBooks or Xero, is required.
  • Familiarity with CRM systems or business listing platforms is an asset.
  • Excellent written and verbal communication skills in English are necessary.
  • Strong organizational and multitasking abilities are crucial for success in this role.
  • Proficiency in Microsoft Office Suite and other productivity tools is expected.
