Job Title: Home-Based Virtual Support Specialist

We are seeking a highly organized and detail-oriented professional to handle various administrative tasks in a home-based setting. The ideal candidate will be responsible for handling clerical duties, customer service, vendor communication, and inventory management.

The selected candidate must be able to multitask effectively, prioritize tasks, and work efficiently in a fast-paced environment.

  • Manage incoming and outgoing mail by processing, sorting, and routing as necessary.
  • Provide exceptional customer service and utilize strong interpersonal skills to resolve client issues.
  • Distribute vendor invoices to the billing and accounts payable departments upon receipt.
  • Order product inventory and receive documentation from vendors for receipt completion.
  • Verify order receipt with vendors to meet client delivery timelines.
  • Utilize workflow management systems to track orders from production schedule to delivery date.
  • Identify and manage backorder processes, including replacement with comparable products.
  • Reduce accounts receivable aging through effective management.
  • Assist clients with administrative duties as needed.
  • Maintain accurate records and create database entries.
  • Perform ad hoc duties as assigned by management.
Requirements:
  • A degree in Marketing, Business Administration, or a related field is required.
  • Minimum 3-5 years of experience in Customer Service, Data Entry, or Administrative Assistance.
  • Excellent written and spoken English communication skills.
  • Ability to work U.S. EST hours (graveyard shift in PH time).
  • Strong understanding of office management systems and procedures.
  • Proficiency in Microsoft Office Suite and Google Suite.
  • Familiarity with tools such as Wild Apricot, JotForm, Canva, SharePoint, Slack, and social media platforms.
