Job Title: Admin Assistant

Sosa JB Property Management Corp is seeking a highly organized and detail-oriented Admin Assistant to join their team.

Key Responsibilities:
  • Implement a bin card system to control the delivery and pull-out of office supplies
  • Monitor the delivery and pull-out of housekeeping supplies
  • Prepare the Monthly Management Report for submission to the Property Manager
  • Provide secretarial support during meetings, events, and other activities
  • Manage the day-to-day tasks of the Administrative function
  • Keep the property directory up to date with emergency numbers, hotlines, contractors, suppliers, and Third Party Contractors
  • Maintain the 201 file of all units in the property according to SPMC's required documents
  • Process the renewal of all government permits and payment of Real Property Tax
  • Submit the Daily Time Record (DTR) of all SPMC employees
  • Assist the Property Manager in preparing PowerPoint presentations and related materials for Board Meetings and Membership Meetings
  • Attend Board Meetings and Membership Meetings as required
  • Accept and summarize concern slips from unit owners
  • Evaluate concern slips submitted by unit owners
  • Prepare Minutes of Board Meeting, Special Meetings, and Annual General Assembly Meeting
  • Manage petty cash
  • Establish good rapport and working relationship with the Board/Client representative
  • Build a personal yet professional relationship with unit owners/tenants
Requirements:
  • Graduate of a 4-year course in Building Technology Management or Business Administration
  • At least 1 year of related work experience, preferably in the same industry
  • Knowledge of computer applications such as MS Office and email
