Job Title: Support Specialist - We are seeking an experienced and proactive Executive & Personal Assistant to support our team with a mix of executive, personal, and administrative responsibilities. This is a key support role with plenty of variety and lots of room for growth and impact.

This is a mid-senior level full-time job in the administrative industry with a focus on staffing and recruiting. The ideal candidate will have 8+ years of experience in Executive Assistant, Personal Assistant, or similar roles and exceptional English skills - written and spoken.

We're looking for someone who is tech-savvy with fast learning skills, familiar with Microsoft Teams, Outlook, task/project management tools, and CRMs. You should be reliable, honest, highly motivated and self-starting, confident, friendly and emotionally intelligent - able to take feedback, learn fast, and thrive under pressure.

The successful candidate will have a natural ability to identify improvements and bring recommendations to the table. They will be able to manage multiple moving parts and prioritize like a pro. Key Responsibilities
  • Manage calendars, inboxes, meetings, tasks, travel, and communications; act as right hand in both business and some personal admin.
  • Work Australian AWST (Perth time), speak and write fluent English, and sound like a local during calls.
  • Support business operations, project tracking, client coordination, and capacity planning; assist with internal process improvement and workflow optimisation.
  • Confident with tools like Office 365, Teams, VOIP, project software (e.g., Monday.com), and able to suggest improvements using tech and AI.
  • Highly organised, trustworthy, fast-learning, adaptable, and capable of handling sensitive information with discretion.
  • Liaise professionally with clients, team, and suppliers; draft emails, attend virtual meetings, and ensure clear and timely follow-ups.
  • Identify what needs to be done without constant direction, problem-solve independently, and manage competing priorities effectively.
  • Support light bookkeeping, review contracts, and assist with basic budgeting and reporting tasks.
