Administrative Support Specialist

This role plays a vital part in the daily operations of a multifaceted property management organization, overseeing numerous residential units across various properties.

The ideal candidate will collaborate closely with the property manager to handle resident communication, vendor coordination, and inspection scheduling.

The position involves routine administrative tasks and project-based work, offering opportunities for ownership of key processes. Responsibilities include making professional outbound calls, sending email notifications, maintaining spreadsheets, scheduling inspections, tracking vendors, managing projects, and generating reports.

  • Makes professional outbound calls to residents for payment collection and fee follow-ups.
  • Sends bulk email notifications to residents regarding payments and updates.
  • Maintains spreadsheets tracking payment status and collection activity across properties.
  • Schedules inspections with certified service companies.
  • Tracks vendor proposals and ensures certifications are up to date.
  • Manages multiple ongoing projects across 11 properties, ensuring deadlines are met.

Requirements include 2–3 years of administrative experience, excellent phone and communication skills, proficiency with spreadsheets and email management tools, ability to manage multiple projects with organization and attention to detail, experience coordinating with vendors and managing schedules, familiarity with VoIP tools, high level of organization, and professional communication with residents, vendors, and team members.
