
HR Administrative Specialist

We are seeking a highly skilled HR Assistant to join our team. The successful candidate will be responsible for performing administrative tasks, providing exceptional support to the HR department, and ensuring the smooth operation of HR processes.
Key Responsibilities:- Receives and checks manpower requisition forms for job vacancies and endorses them to the HR head for approval.
- Posts approved vacancies at HR job portals.
- Screens and shortlists applicants for vacancies based on qualifications and job descriptions given by the requesting head.
- Facilitates examinations of applicants and conducts initial or behavioral interviews of applicants.
- Prepares job descriptions, contracts, and other recruitment documents and forwards them to the HR supervisor for filing.
- Gathers pre-employment requirements and forwards them to the HR supervisor after filing.
- Creates new employee 201 files.
- Routes and introduces newly hired employees.
- Encodes newly hired profiles accurately and timely into the AMS.
- Coordinates with the requesting department manager on the status of vacancies.
- Prepares recruitment reports and submits them to the supervisor and HR head on a weekly basis.
- Receives requests for government office loans and endorses them to the HR assistant for benefits processing.
- Endorses government benefits claims documents to the HR assistant for benefits processing.
- Receives HMO requests and endorses them to the HMO in-charge.
- Receives and reviews other benefits concerns and endorses them to the HR assistant for benefits processing.
- Coordinates with HR on incidents reported.
- Processes one-hub reports of dealership.
- Receives and processes requests for certificates of employment for clearance of HR head and signature of General Manager.
- Prepares holiday memos and announces them to all employees of dealership once approved by HR Head.
- Encodes overtime and leave of dealership employees and coordinates with HR officer for timekeeping and payroll for any payroll and timekeeping-related concerns.
- Endorses requests for uniforms to HR supervisor for processing.
- Oversees health and safety implementations of dealership.
- Attends DOLE inspections when needed, with guidance of HR supervisor and HR head.
- Monitors probationary contracts of probationary employees of dealerships and triggers reminders to HR supervisor for preparation of HR documents.
- Coordinates with HR supervisor on annual appraisal of all dealership employees and assists in timely facilitation of annual performance appraisal.
- Conducts exit interviews to separating employees not later than employee's last day of reporting to work.
- Processes clearance of resigned employees triggered/endorsed to HR supervisor on last working day of employee.
- Keeps inventory of all uniforms and processes and issues company uniform requests of employees after approval of HR head.
- Releases last pay of dealership resigned employees.
- Graduate of at least 4-year business-related course or Psychology graduate.
- 5 years experience in related field.
- Knowledge in HR and Labor laws.
- Good communication skills.
- Knowledge in building administration.
- Must have considerable knowledge of planning and zoning.
- Ability to perform multi-tasking.
- Must have ability to communicate effectively both orally and written.
- Ability to work independently (minimal supervision).
- Self-motivated; sense of urgency to take action.
- Computer literate; Excel program.
