Project Manager Assistant

Description:

The role of a Project Coordinator at a nationwide project involves supporting the effective execution of project tasks by coordinating daily activities, tracking deliverables, and ensuring timely communication among stakeholders.

This project requires someone who is willing to travel and take on assignments at various project sites across the country.

The successful candidate will assist in planning meetings, documenting discussions, and following up on action items to ensure progress remains on track.

  • Key Responsibilities:
  • Supporting day-to-day coordination of project activities and deliverables
  • Tracking project schedules, action items, and reporting deadlines
  • Assisting in planning meetings, taking notes, and managing follow-ups
  • Maintaining and regularly updating project plans, timelines, and task trackers
  • Coordinating communication between internal teams and external partners
  • Preparing draft reports, presentations, and briefing materials as needed
  • Monitoring workstream progress and flagging risks or potential delays
  • Helping track contract or grant compliance and maintaining related documentation
  • Organizing and managing shared folders and files to ensure proper version control
  • Providing administrative support to project managers and technical leads
Requirements:
  • Bachelor's degree in Business or a related field
  • 3+ years of experience in project planning, documentation, scheduling, and reporting in complex, multi-stakeholder environments
  • Strong organizational, time management, and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., MS Project, Trello, Asana)
  • Ability to work independently with minimal supervision and adapt to shifting priorities
  • Strong problem-solving skills and attention to detail
