Financial Operations Assistant

This role is based in Lapu-Lapu, Cebu. Onsite work setup requires six days a week.

Required Skills and Qualifications
  • Graduate degree in finance/accountancy or related field.
  • At least one year of experience in billing, collection, and bookkeeping procedures.
  • Proficient in using billing software for accurate invoicing and payment tracking.
  • Experienced in creating and managing invoices with various billing methods.
  • Accurate data entry and financial calculations skills.
  • Effective client account management and billing discrepancies resolution.
  • Strong customer service in handling billing inquiries and concerns.
  • Clear communication and negotiation skills for overdue payments.
  • Analytical review of payment history and identification of patterns.
  • Resolution of billing and account issues.
  • Organized time management skills.
Key Responsibilities
  1. Ensure timely and accurate billing with proper official receipts issuance.
  2. Monitor receivables collection and submission of CWTs.
  3. Validate accounts payable, check vouchers, and ensure tax compliance.
  4. Maintain reconciliation of sales, collections, and aging reports up to date.
  5. Assist in month-end reporting, tax filing, and accounting procedure compliance.
  6. Verify documentation completeness before processing payments.
  7. Approve petty cash liquidations and reimbursements.
  8. Perform monthly bookkeeping and financial analysis for assigned properties.
  9. Track daily deposits and record all payments accurately.
  10. Implement collection policies and ensure billing cycles adherence.
  11. Track disbursements and maintain efficient fund usage.
  12. Compare actual revenues and expenses against budget on a monthly basis.
  13. Prepare annual operating and capital budgets.
  14. Support development of five-year property enhancement plans.
  15. Monitor bank account balances and prepare cash position reports.
  16. Conduct monthly petty cash counts and audit inventories and assets.
  17. Maintain ISO-compliant documentation and records.
  18. Ensure timely regulatory compliance.
  19. Collaborate with admin to track regulatory requirements.
  20. Gather feedback from landlords and tenants to improve service quality.
  21. Suggest improvements to financial processes for better client service.
  22. Participate in company meetings, trainings, and team-building activities.
