Logistics Coordinator Job Description

We are seeking a detail-oriented and organized individual to fill the role of Logistics Coordinator.

This is an entry-level position that involves various tasks such as shipment coordination and scheduling, documentation support, compliance assistance, standard operating procedures support, and cost awareness & optimization support.

  • Shipment Coordination & Scheduling: Assist with the coordination and scheduling of inbound shipments, track shipments from suppliers and manufacturers, and support the selection of transportation methods based on guidance from team members.
  • Documentation Support: Prepare and organize import documentation, ensure documents are accurate and complete, assist with document filing and sharing with relevant teams or partners.
  • Compliance Assistance: Support the team in learning and following customs and import regulations, gather documents for customs brokers and internal use, learn about the customs clearance process and help resolve minor issues under supervision.
  • Standard Operating Procedures (SOP) Support: Document processes and update internal SOPs as directed, participate in improving team workflows through feedback and collaboration, communicate with suppliers via email or phone to confirm shipment details, report shipment status and updates to internal teams, and help resolve fundamental shipment discrepancies with guidance.
  • Cost Awareness & Optimization Support: Assist in gathering quotes and rate comparisons for shipments, track and log shipping-related expenses, report delays or issues to senior staff, assist in documenting and tracking shipping challenges, and learn how to support contingency planning and problem resolution.

Key qualifications include:

  • A Bachelor of Science in Customs Administration or other relevant course.
  • Knowledge in Incoterms.
  • Strong attention to detail and a willingness to learn new processes.
  • Basic analytical and problem-solving skills.
  • Ability to work independently and manage time effectively, especially in a remote environment.
  • Clear and professional written and verbal communication skills.
  • Comfortable using Windows-based desktop software and basic office tools.
  • Excellent organizational skills with a focus on accuracy and quality.
  • Ability to follow instructions and standard operating procedures.
  • Interest in learning about data entry, document processing, and logistics.
  • Familiarity with or willingness to learn about shipping processes and documentation.
  • Willingness to make professional phone calls and communicate with clients or service providers as needed.
