Job Description

A highly organized and proactive individual is sought to provide administrative support to a company director. This role requires a dynamic professional with exceptional organizational skills, professionalism, and the ability to manage multiple tasks efficiently.

Key Responsibilities:
  • Manage the director's diary, schedule appointments, and coordinate meetings ensuring seamless execution
  • Handle all correspondence including emails, phone calls, and letters ensuring prompt and professional responses
  • Provide comprehensive administrative support including document preparation, filing, and office organization
  • Coordinate and organize meetings including preparing agendas, taking minutes, and ensuring follow-up on action items
  • Assist with project management tasks including tracking project progress and deadlines
  • Maintain confidentiality and handle sensitive information with discretion
  • Prepare reports, presentations, and other documents as required
  • Arrange travel and accommodation for the director and other team members as needed
  • Conduct research and compile information for various projects
  • Liaise with internal and external stakeholders to facilitate smooth communication and coordination
Qualifications:
  • Proven experience in an administrative or executive assistant role
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and take initiative
  • Professional demeanor and the ability to maintain confidentiality
  • Strong attention to detail and accuracy
  • Ability to manage multiple tasks and prioritize effectively
  • Quick thinking and ability to adapt to changing circumstances
