The role of an Accounts Payable Associate is a crucial part in ensuring the smooth operation of our business. This position plays a vital role in managing vendor relations, overseeing invoice processing and payment, and maintaining an up-to-date vendor database.
Job SummaryWe are seeking a highly organized and detail-oriented individual to join our team as an Accounts Payable Associate. The successful candidate will be responsible for managing vendor relations, performing a three-way match (PO, receiving, invoice) to ensure proper authorization and compliance, and resolving any discrepancies or issues that may arise.
Key ResponsibilitiesInvoice Processing: Enter vendor bills into NetSuite with accuracy and completeness, perform a three-way match to ensure proper authorization and compliance, and research and resolve any discrepancies or issues that may arise.
Vendor Management: Maintain responsibility for approximately 300 vendor accounts, communicate directly with vendors regarding billing questions, missing documents, and payment status, and build and sustain strong working relationships with vendors and internal stakeholders.
AP Operations: Ensure all invoices are processed in accordance with company policy and month-end close deadlines, monitor vendor statements and reconcile accounts regularly to prevent overdue balances, and maintain organized records for audit readiness and compliance.
Continuous Improvement: Identify opportunities to streamline invoice entry and matching processes, participate in process improvement initiatives, and support system enhancements in NetSuite.
Education and Experience: A minimum of 2 years of accounts payable experience in a high-volume environment required, experience with NetSuite or other ERP systems strongly preferred.
Skills and Qualifications: Strong attention to detail and accuracy in data entry, ability to work independently, prioritize tasks, and manage multiple deadlines, effective written and verbal communication skills for vendor and internal interactions, strong problem-solving skills and ability to resolve discrepancies, proficiency in Microsoft Excel and other office applications.
