Accounting Firm Administrative Support

The primary function of this role is to provide exceptional administrative support to the accounting firm's daily operations. This involves managing client job and document management, new client onboarding, tracking assigned tasks, researching clients for business information, and managing tax dome software.

Responsibilities:
  • Manage and organize documents within client folders, send email notifications as needed.
  • Onboard new clients by sending welcome emails, assigning Lacerte Tax ID numbers, setting up client portals, and inviting clients to access their portals.
  • Track and complete assigned tasks in the tax dome status dashboard.
  • Research and gather business information for clients.
  • Manage and track tax dome software outlook inbox for tax dome management requests and follow-up reminders.
  • Oversee accounts receivable by tracking and invoicing recurring invoices, running payments monthly, collections, time sheet billing, and processing payments through ACH, wire transfer, and check payments.

To excel in this position, candidates should possess 3-5+ years of administrative experience, strong written and verbal communication skills, and proficiency in Office products, Word, Excel, and Outlook. They should also be able to work independently with minimal supervision, have excellent problem-solving skills, and be solution-oriented.

Requirements:
  • Bachelor's Degree in Accounting, Finance, or a related field.
  • High organizational and time management skills.
  • Attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Office products, Word, Excel, and Outlook.
  • Project management experience.
