About the Role: MOVE Your Biz is a rapidly growing start-up company in Southern California that helps businesses grow and outsource virtual employees. As a Client Intake Coordinator, you will play a crucial role in managing the initial stages of client cases, ensuring accurate data entry, and facilitating effective communication with insurance companies, adjusters, and legal teams.

This role requires attention to detail, strong organizational skills, and familiarity with legal documentation processes. You will handle claim openings, document preparation, and support the litigation process while maintaining comprehensive case records.

Key Responsibilities:
  • Conduct initial client calls to gather case information and assess needs.
  • Open claims with auto insurance carriers and obtain adjuster information.
  • Update and maintain case files in cloud-based systems such as CloudLex.
  • Contact health insurance providers to verify coverage and open claims.
  • Respond to inquiries and communicate updates via email, copying relevant team members as needed.

Document Preparation and Management:
  • Prepare and review client letters, packets, and preservation notices for accuracy before sending.
  • Utilize Dropbox Fax to send and manage documents.
  • Assist in obtaining Freedom of Information Act (FOIA) forms for auto accidents and slip-and-fall cases.
  • Download and organize records from various sources for attorney review.

Litigation Support:
  • Draft and prepare legal documents such as pleading shells, discovery shells, and notices of depositions.
  • Ensure all documents are complete and formatted according to case style standards.
  • Support the legal team by maintaining accurate records and updating case statuses.

Benefits and Requirements:

The ideal candidate will have a minimum of 2-3 years of experience in client intake, legal support, or insurance claims processing. Strong communication and organizational skills are essential, along with attention to detail and high accuracy in data entry and document preparation.
