
Senior Business Administrator

We are seeking a highly organized and proactive Administrative Professional to support an entrepreneurial leader with multiple business ventures. As the central point of contact, you will ensure seamless day-to-day operations, manage digital systems, and maintain a structured approach to tasks and projects.
Key Responsibilities:- Oversee email inboxes, implement a clear system for inbox management, and minimize back-and-forth communication.
- Manage calendars, schedule meetings, set reminders, and resolve scheduling conflicts.
- Follow up on post-meeting tasks, track action items, and maintain momentum across ongoing projects.
- Update spreadsheets for financial tracking, invoices, and property-related bills using Excel and Google Sheets.
- Monitor and coordinate bill payments, segregate by category or property, and maintain proper naming conventions.
- Track tasks and small project coordination using tools like Asana.
- Provide support with travel arrangements, including itineraries and necessary documentation.
- Assist with personal administrative tasks, such as paying personal bills or maintaining personal records.
- Liaise with external stakeholders, drafting emails and documents for review.
- Explore business opportunities, research ideas, and capture next steps.
- Maintain organized systems and files across Google Workspace (Gmail, Calendar, Drive).
- Communicate daily via WhatsApp for action item updates.
- Perform data entry, documentation, and general administration with high accuracy.
- At least 4 years of experience supporting entrepreneurs with multiple business ventures.
- Exceptional email and calendar management skills, with confidence managing several inboxes simultaneously.
- Strong financial admin experience, particularly in managing spreadsheets, tracking bills, and analyzing gaps to identify solutions.
- Familiarity with Google Workspace (Gmail, Calendar, Drive), Zoom, Google Meet, Asana, Excel, Google Sheets, and WhatsApp.
- Excellent verbal and written English skills, with strong grammar, clear articulation, and a professional tone.
- Highly focused on creating and maintaining structured systems and organized digital filing.
- Detail-oriented, with a habit of validating assumptions and seeking clarity.
- Attentive listener who follows instructions accurately while identifying gaps and offering input.
- Trustworthy and comfortable handling sensitive information.
