Our organization is seeking an experienced Virtual Support Specialist to join our team. The ideal candidate will be responsible for providing exceptional support services to senior executives, ensuring seamless execution of administrative tasks and projects.
The Virtual Support Specialist will serve as a strategic partner to the executive team, handling complex calendar management, meeting coordination, and document preparation. They will also be responsible for maintaining the executive's priority to-do list, anticipating needs, and driving action-item follow-through.
Key Responsibilities:
- Calendar Management: Coordinate meetings, appointments, and travel arrangements across time zones.
- Meeting Coordination: Prepare meeting agendas, capture minutes, and drive action-item follow-through.
- Document Preparation: Draft, polish, and format documents, presentations, and reports using advanced Microsoft Office skills.
- Travel Arrangements: Plan domestic and international travel for the executive team, including flights, hotels, ground transport, and visas.
- Project Coordination: Track cross-functional projects, timelines, risks, and milestones, ensuring timely completion.
Requirements:
- Proven experience as an Executive Assistant or similar role in a high-paced environment.
- Expert diary and time management skills, with ability to prioritize tasks and manage competing demands.
- Advanced Microsoft Office skills, including Word, PowerPoint, and Excel.
- Exceptional written and verbal communication skills, with ability to draft clear and concise documents.
- High ownership and judgment, with ability to anticipate needs and drive action-item follow-through.
