Administrative Officer for Special Projects

The Program and Administrative Officer II plays a pivotal role in supporting the Director's mandates. This involves managing projects, facilitating partnerships, monitoring team capability development, and overseeing recruitment strategies for the Center.
Main Duties and Responsibilities:
I. Project Management Support
- Provides critical support to the Director for new program initiatives and projects.
- Attends client calls and/or business development meetings as instructed by the Director.
- Stays abreast of industry trends and practices that may impact prospective projects and provides feedback to the Director on how to anticipate and manage their possible effects.
- Prepares necessary materials, infographics, and presentation kits.
- Assists in facilitating opportunities to network, maintaining and managing client relationships and partnerships.
- Documents all meetings, proceedings, events, projects, and activities of the Director, taking crucial notes of pertinent information relevant to project success.
- Tracks various projects of the Director.
- Records relevant data in the Office database, ensuring timely updates and recommending strategies to improve seamless data capture.
II. Administrative Support
- Monitors the Director's schedules and appointments related to external clients and partners, as well as programs conducted outside the campus.
- Closely coordinates with the University Marketing and Communications Office and CCE's Marketing team to create communication campaigns, ensuring compliance with University directives, protocols, and branding guidelines.
- Maintains records of learning development needs and program attendance of CCE employees.
- Ensures all documents and contracts for approval are adequately supported and properly conceptualized.
III. Internal Recruitment and Internship Program Management
- Oversees employee recruitment strategies for the Center in consultation with the HR Cluster.
- Manages the internship program as part of the Center's recruitment strategy.
- Keeps track of CHED regulations related to the internship program.
- Identifies potential internship opportunities by coordinating and cultivating relationships with academic departments in the University and other schools.
- Prepares Memoranda of Agreement (MOAs) and other internship/partnership agreements, facilitating routing for necessary approvals in coordination with the University Legal and Compliance Office and University Data Protection Office.
- Serves as a liaison between students and academic departments to address inquiries and concerns regarding the internship program.
- Gathers feedback from interns and internal stakeholders to monitor the attainment of objectives and agreements.
IV. Performs Other Duties
The Program and Administrative Officer II performs other duties as assigned by the immediate supervisor or authorized representative.
