
Operations Manager

We are seeking a skilled Operations Manager to join our team. The successful candidate will be responsible for managing client communications, coordinating between teams, and handling administrative tasks.
The ideal candidate will have strong experience in construction or trades industry administrative processes, proficiency in accounting software (Xero experience preferred), and excellent written and verbal communication skills.
- Manage client communications with 24-hour response times and proactive follow-ups to eliminate missed opportunities
- Coordinate between office, field teams, and subcontractors to ensure clear communication channels and updated job requirements
- Handle comprehensive administrative tasks including data entry, invoice processing, and maintaining organized job documentation
This is an exciting opportunity for a motivated and organized individual to take on a key role within our business. As an Operations Manager, you will be responsible for:
- Client Communications: Manage all client communications with 24-hour response times and proactive follow-ups to eliminate missed opportunities.
- Team Coordination: Coordinate between office, field teams, and subcontractors to ensure clear communication channels and updated job requirements.
- Administrative Tasks: Handle comprehensive administrative tasks including data entry, invoice processing, and maintaining organized job documentation.
- Compliance Management: Oversee compliance management including build pass, WHS documentation, and ensuring all job documents are properly maintained.
- Software Utilization: Utilize and optimize software systems including Build Exact for maximum efficiency and quality control processes.
- Task Management: Chase up employee tasks, deliverables, and site reporting to improve team accountability and performance.
- Quoting and Tendering: Assist with quoting and tendering processes, including supplier price checking and quote comparisons.
- Financial Management: Forward all financial documents to Xero and manage systematic invoice processing to prevent cash flow delays.
- Standard Operating Procedures: Implement weekly checklists for site managers covering job variations, accidents, client satisfaction, and progress updates.
- Checklist Creation: Create and maintain standard operating procedures and checklists for recurring business processes.
- Accountability Support: Provide accountability support to business owners by tracking their daily tasks and deliverables.
- Email and Calendar Management: Manage email and calendar systems, filtering communications and flagging only items requiring owner attention.
