Bilingual Executive Support Specialist

This is a unique opportunity to work as a Bilingual Executive Support Specialist in a dynamic and fast-paced environment.

The ideal candidate will be responsible for providing exceptional administrative support to senior executives. Key duties include:

  1. Email and correspondence management: Compose email and text correspondence, prepare reports, and analyze documents with attention to detail.
  2. Interpreting and translation: Attend virtual meetings and phone conferences, interpreting languages between parties.
  3. Customer communication: Communicate with stakeholders regarding issues in a professional and courteous manner.
  4. Coordination and logistics: Coordinate with service companies to schedule repairs, follow up on work completion, and issue payments efficiently.
  5. Calendar management: Manage calendars, scheduling business appointments, meetings, and calls with minimal supervision.
  6. Research and decision-making: Research and make optimal decisions regarding suppliers, service companies, equipment, and supplies that align with company goals.
  7. Confidentiality and integrity: Handle sensitive information with the highest level of integrity and confidentiality.
  8. Administrative tasks: Perform other administrative duties as needed to support the team's success.

To succeed in this role, you must have:

  1. Linguistic proficiency: Fluency in two languages (verbal and written) to communicate effectively with internal and external stakeholders.
  2. Executive experience: Minimum of 5 years of experience as an Executive Assistant to C-levels with a proven track record of delivering high-quality results.
  3. Education and training: Bachelor's degree or any certificate course relevant to the role.
  4. Communication skills: Excellent phone, email, and instant messaging communication skills to build strong relationships with colleagues and clients.
  5. Organizational skills: Solid organizational & time management skills to prioritize tasks, meet deadlines, and maintain accuracy.
  6. Tech-savviness: Tech savvy & familiar with current technologies, like desktop sharing, cloud services, and VoIP to streamline workflows.
  7. Software expertise: Experience with word-processing software and spreadsheets.
  8. Calendar management: Knowledge of online calendars and scheduling.
  9. Proactivity: Proactive attitude & willingness to be trained and adapt to changing priorities.
