Key Responsibilities
  • Executive Support
    • Manage executive calendars, schedules, and travel arrangements efficiently.
    • Prepare meeting agendas, minutes, and follow-up action items effectively.
    • Serve as the primary point of contact for executives, providing seamless support.
    • Lead and host meetings or conferences as required, ensuring successful outcomes.
  • Administrative Coordination
    • Organize and maintain electronic and physical files systematically.
    • Draft and proofread correspondence, presentations, and reports professionally.
    • Manage expense reporting and budget tracking accurately.
    • Handle ad hoc tasks to support business operations effectively.
  • Project Management
    • Oversee special projects and initiatives from start to finish, ensuring timely completion.
    • Track project timelines, milestones, and deliverables closely.
  • Communication Management
    • Act as a liaison between executives and internal/external stakeholders, facilitating smooth communication.
    • Prioritize and screen incoming communication, responding on behalf of executives when appropriate, ensuring prompt resolution.
  • Confidentiality and Discretion
    • Handle sensitive information with utmost confidentiality, adhering to strict protocols.
    • Ensure compliance with company policies and legal requirements, maintaining a high level of professionalism.
Qualifications
  • Experience: 5+ years in executive support roles, preferably in fast-paced environments, where adaptability and flexibility are essential.
  • Education: A Bachelor's degree in Business Administration, Communications, or related fields is preferred, demonstrating a strong foundation in business principles.
  • Project management experience is highly valued, showcasing ability to prioritize tasks and manage multiple projects simultaneously.
