Remote Administrative Support Specialist

Job Description:

Seeking a highly skilled Remote Administrative Support Specialist to provide comprehensive support to our clients. The successful candidate will be responsible for managing emails, scheduling meetings, preparing documents, and conducting resume sourcing and mining.

Key Responsibilities:
  • Manage and organize emails, including database mining and sending nurturing emails.
  • Schedule and coordinate meetings, appointments, and occasional travel arrangements.
  • Prepare and organize documents such as reports, memos, and other office files.
  • Conduct resume sourcing and mining, add new customer records to the system, and suggest local networking or other groups.
  • Responsible for content creation, scheduling, posting, audience engagement, and tracking on social media.
  • Provide client support by managing inquiries and feedback and resolving occasional issues in a timely fashion.
  • Provide administrative assistance, including basic accounting tasks, conducting territory checks, and preparing and sending customer contracts and referrals.
Requirements:
  • Bachelor's degree preferred, but not required; a high school diploma required.
  • Experience as a virtual assistant or remote assistant role.
  • At least one year of experience in lead generation and/or appointment setting for international clients.
  • Ability to qualify and prioritize leads effectively.
  • Strong computer aptitude, which includes experience with Microsoft 365, G-Suite, Canva, Zoom, Dropbox, Asana, Calendly, Doodle, Skype, Slack, Trello, Adobe Acrobat, LastPass, LinkedIn, CRM experience, experience with AI and automation tools.
  • Strong organization, oral and written communication skills.
  • Analytical skills with particular attention to detail.
  • Aptitude in data management, analytics, and reporting preparation.
  • Ability to function in an autonomous environment—independent worker, self-directed.
  • Highly flexible and adaptable, with proven ability to report and collaborate effectively with multiple stakeholders.
