Executive Support Specialist

We are seeking a diligent and organized Administrative Assistant to support our team at Addmore Outsourcing Inc. The ideal candidate will have a keen eye for detail and excellent communication skills.
Key Responsibilities:
- Scheduling and Coordination: Organize and manage the executive's calendar, scheduling meetings, appointments, and virtual events. Coordinate with internal and external stakeholders to ensure all scheduling needs are met efficiently.
- Communication Support: Act as the first point of contact for all communications. Manage emails, phone calls, and online messages, ensuring prompt and professional responses to inquiries and requests.
- Document Preparation: Create, edit, and format documents, presentations, and reports as needed. Ensure all documents are accurate, professionally presented, and adhere to company standards.
- Record Management: Maintain and update digital records, databases, and CRM systems. Ensure accuracy and confidentiality of all information handled.
- Meeting Support: Arrange virtual meetings and conference calls, including sending invitations, preparing agendas, and managing meeting materials. Handle follow-up actions and distribute meeting notes or minutes.
- Administrative Support: Provide general administrative support, including filing, organizing digital files, and handling correspondence. Assist with special projects and tasks as required by management.
- Travel Coordination: Coordinate travel plans, including booking flights, accommodations, and transportation for team members. Prepare detailed itineraries and handle any travel-related issues.
- Office Operations: Manage and order office supplies and equipment as needed. Ensure that all necessary resources are available for the team to work effectively.
- Time Management: Effectively prioritize and manage multiple tasks and deadlines. Demonstrate strong organizational skills to ensure that all administrative functions are completed accurately and on time.
- Confidentiality: Handle sensitive information with discretion and ensure compliance with data protection and confidentiality policies. Maintain a high level of professionalism in all interactions.
Qualifications:
- Education: Associates or Bachelor's degree in Business Administration or a related field is preferred.
- Experience: Proven experience as an administrative assistant or in a similar role, preferably in a remote work environment.
- Technical Skills: Proficiency in using office software and communication tools (e.g., Microsoft Office Suite, Google Workspace, Slack).
- Soft Skills: Strong organizational and time-management skills with attention to detail.
- Independence: Ability to work independently and manage tasks efficiently in a remote setting.
- Problem-Solving: Strong problem-solving skills and the ability to handle unexpected issues with professionalism.
