Key Responsibilities

As an Export Shipping Coordinator, you will be responsible for:

  • On schedule handling of export shipments, permits, declarations, and transport documentation worldwide;
  • Complete handling of Bill of Lading preparation and document issuance;
  • Corresponding with customers and vendors worldwide;
  • Handling of complete export documentation process;
  • Maintaining good customer relationships, including problem solving;
  • Managing and implementing department goals and quality guidelines;
  • Attending to email correspondence with customers and overseas agents;
  • Preparing billing invoices to customers and verifying invoices from vendors;
  • Handling inquiries from Agents, Forwarders, Shippers, Co-Loaders, etc., and attending to their needs and complaints;
  • Ensuring deadlines for submission of documents are met;
  • Submitting manual and online manifest to carrier before the given cut-off time;
  • Ensuring accurate data entry by cross-checking Master Bill of Lading against transshipment Bill of Lading and Bill of Lading drafts provided by customers;
  • Preparing and sending Pre-alert, Export Cargo Manifest, Master Bill of Lading, and other related documents to various destination agents in a timely manner;
  • Coordinating shipping status with destination agents for clearance on overseas deliveries;
  • Creating payment vouchers to carriers;
  • Knowledgeable in using Automated Export System (AES) Filing for Japan Shipment;
  • Monitoring email regularly to assist Customer/Carrier/Agent when needed;
  • Other ad-hoc assignments as assigned by superior.
