Job Summary:
We are seeking a detail-driven individual to fill the position of Intake Data Entry & Coding Specialist. As a key member of our team, you will be responsible for accurately entering intake data, applying standardized coding procedures, and maintaining reliable records that support case preparation.
The successful candidate will have excellent organizational skills, with the ability to work effectively in a fast-paced environment. They will also possess strong English communication skills (written and verbal) and demonstrated ability to handle confidential information with discretion.
Core Responsibilities- Enter, validate, and maintain intake information: Accurately enter intake data into our case management systems, ensuring consistency and speed.
- Apply coding standards: Classify and organize case data consistently, adhering to established guidelines.
- Review and audit records: Regularly review and correct errors in records to uphold accuracy benchmarks.
- Organize electronic files: Ensure accessibility and compliance with firm protocols by organizing and updating electronic files.
- Communicate with teams: Clarify missing or unclear information with intake and case management teams.
- Safeguard client data: Protect confidential client data in alignment with privacy and compliance requirements.
- Generate reports: Produce intake reports and extract data to support attorney and case manager needs.
- Suggest improvements: Identify opportunities to enhance intake speed, accuracy, and reliability through process improvements.
- Professional experience: 2+ years in data entry, coding, or intake coordination.
- Database proficiency: Proven ability to use databases, spreadsheets, or case management systems effectively.
- Attention to detail: High attention to detail with the ability to maintain accuracy under deadlines.
- Communication skills: Strong English communication skills (written and verbal).
- Confidentiality: Demonstrated ability to handle confidential information with discretion.
- Reliability: Stable wired internet connection with a tested backup option to ensure reliability.
- Availability: Full availability to work U.S. business hours in Pacific Standard Time (PST), with occasional Saturday coverage.
- Legal/medical experience: Prior experience in legal or medical intake processes (e.g., PI claims, ICD/CPT familiarity).
- Excel proficiency: Intermediate to advanced Excel or Google Sheets proficiency (e.g., formulas, pivot tables).
- Distributed team experience: Experience working in a high-volume, distributed remote team.
Bilingual skills: Conversational Spanish or bilingual proficiency to support LATAM-based clients.
