Executive Support Professional

This role requires an experienced and highly organised administrative professional to provide proactive and seamless support to senior leadership across multiple functional areas.

Key Responsibilities:
  • Calendar Management:
    • Manage complex schedules across multiple time zones, ensuring effective time allocation and prioritisation of meetings
    • Coordinate and maintain recurring and ad-hoc meetings, including 1:1s and team meetings
  • Communication Coordination:
    • Serve as the primary point of contact for internal and external communications on behalf of senior leaders
    • Draft, review, and manage email, Slack, and task-based communications to ensure timely follow-ups and responses
  • Meeting Organisation:
    • Organise and prepare for meetings, including setting agendas, taking notes, and following up on action items
    • Participate in team and leadership meetings as required to gain context on priorities and critical business activities
  • Travel Planning:
    • Plan and coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries
  • Administrative Assistance:
    • Handle confidential information with discretion and professionalism
    • Support programmatic scheduling for internal events, onboarding sessions, and other one-off projects
  • Team Collaboration:
    • Collaborate with other administrative professionals to ensure smooth operations across functional areas

Qualifications include proficiency in Asana, experience using GCal, Gmail, and Slack, a Bachelor's degree or any certificate course, and excellent phone, email, and instant messaging communication skills.
