Job Description

At Nityo Infotech, we are seeking a highly skilled and experienced Administrative Assistant to join our team. This is a full-time onsite position in Alabang or BGC Taguig.

About the Role

We are looking for an individual who can provide exceptional administrative support, manage schedules, and maintain accurate records. The ideal candidate will be able to work independently and as part of a team, with excellent communication and organizational skills.

Responsibilities
  • General Administrative Support:
    • Handle office tasks such as filing, generating reports, and setting up for meetings.
    • Manage assigned testers and office correspondence, including emails, phone calls, and mail, ensuring prompt communication.
    • Maintain a clean and organized office environment.
    • Ensure that testers follow proper office decorum and office attire requirements.
  • Schedule Management:
    • Manage team calendars by scheduling appointments, meetings, and events between testers and organic employees.
    • Coordinate conference calls and meetings, both virtual and in-person.
    • Organize and prepare for meetings, including drafting agendas, sending reminders, and arranging meeting spaces or virtual setups and minutes.
  • Document Preparation and Management:
    • Prepare reports, presentations, and correspondence in a timely manner.
    • Draft, format, and proofread documents such as memos, letters, and emails.
    • Maintain and update company records, databases, and filing systems (electronic and physical).
    • Coordinate office services such as maintenance, catering, and deliveries.
    • Validation/Quota monitoring per tester vs test execution results vs files shared by organic team leads.
  • Team Support:
    • Support department processes such as maintaining employee records, scheduling interviews, and coordinating onboarding for new hires, when needed.
    • Assist in organizing team-building activities and employee events, if any.
    • Address inquiries and provide general support to office staff.
    • Check attendance records and validate billing details.
    • Follow handling of vault- and test devices-related processes and ensure secrecy of confidential information.
Requirements

The successful candidate will possess a Bachelor's degree and at least 3 years of experience in HR Administrative Support, Office management, and reporting. A Dayshift schedule and willingness to work onsite are essential.

Compensation

The estimated salary for this role is PHP 40,000 - 60,000 per month, depending on experience. This figure may vary based on qualifications and performance.
