Accounts Payable Specialist

As a remote Accounts Payable Specialist, you will play a crucial role in supporting finance operations. This position is ideal for a self-starter with strong QuickBooks and Excel skills, and a solid understanding of month-end close processes and tax compliance.

Key Responsibilities:

  • Process 10–15 invoices during the first week of each month to ensure timely payment and accurate coding.
  • Manage approximately 5 invoices weekly for the remainder of the month, ensuring invoices are coded accurately and approved in a timely manner.
  • Record and manage bills in QuickBooks Online, maintaining accurate vendor records and payment schedules.
  • Assist with expense management platform tracking transactions, managing approvals to streamline financial processes.
  • Perform accrual processing and ensure all AP transactions are properly recorded at month-end, pooling data from QuickBooks and Excel as needed for reporting.
  • Maintain a large vendor database and ensure collection and organization of W-9 forms, supporting monthly and quarterly tax compliance by verifying vendor and expense documentation.
  • Respond to vendor inquiries and ensure compliance with state-specific requirements, utilizing Excel to generate reports, summaries, and reconciliations as requested.

Qualifications:

  • Strong experience with QuickBooks Online, including proficiency in Microsoft Excel (pivot tables, lookups, formatting, etc.).
  • Solid understanding of Accounts Payable, month-end closing, and accrual accounting principles.
  • Familiarity with U.S. tax compliance, including W-9 handling and state-by-state AP/tax requirements.
  • Highly detail-oriented, organized, and capable of working independently with excellent written and verbal communication skills.

  • Experience with expense management platforms.
  • Prior experience handling AP and compliance across multiple U.S. states.
  • Background in working with small to midsize companies in a remote setup.
