Job Title: Talent Marketing Admin Associate

The role of Talent Marketing Admin Associate is a pivotal position within the team, ensuring seamless operations. Key responsibilities include contract management, communication and support for influencers, payment tracking, and reporting.

Key Responsibilities:
  • Contract Management: Manage administrative tasks related to influencer contracts, invoicing, and payments. This includes accurate preparation, processing, and signing of contracts with influencers on time.
  • Collate service invoices from influencers and maintain centralized records.
  • Review invoices for accuracy before submission.
  • Coordinate payment processing with Finance within agreed timelines.
  • Follow up with influencers for missing invoice details.
  • Properly file and document all invoices and payment records.
KOL Communication & Support
  • Respond to influencer follow-ups regarding payments with clear and professional communication.
  • Manage and track payment status, providing regular updates.
  • Handle escalations tactfully, maintaining positive relationships with influencer partners.
Payment Tracking & Compliance
  • Release payments within agreed terms and conditions.
  • Monitor outstanding balances and proactively close pending payments.
  • Maintain an updated tracker of invoices, payment statuses, and deadlines.
Reporting & Coordination
  • Provide regular status reports to the Admin Lead on contracts, invoices, and payments.
  • Work cross-functionally with Talent Marketing, Client Success, Project Management, and Finance teams.
  • Support the Admin Lead in implementing efficient processes.

Our ideal candidate will possess excellent organizational skills, attention to detail, and strong communication abilities. They should be proactive in identifying and resolving issues and be able to work well under pressure.
