Financial Records Specialist Needed

Job Description

As a key member of the finance team, this Financial Records Specialist will be responsible for maintaining accurate and up-to-date financial records. They will streamline transaction processing, support automation initiatives using QuickBooks Online (QBO), and utilize other financial tools to enhance business operations.

Key Responsibilities:

  • Maintain organized general ledger and record daily financial transactions accurately in QBO
  • Process accounts payable and receivable transactions, including invoice entry and payments
  • Reconcile bank and credit card accounts regularly, resolving discrepancies as needed
  • Manage bookkeeping needs, including inventory tracking and COGS allocations
  • Assist with jewelry sales, returns, and vendor purchasing
  • Utilize Bill.com for efficient vendor payments
  • Support payroll administration in coordination with internal systems
  • Generate financial reports such as profit and loss statements and cash flow summaries
  • Identify trends for cost optimization or revenue improvement
  • Collaborate with the CFO team to support forecasting and budgeting efforts
  • Contribute to automating workflows using QBO, Microsoft Excel, or integrated tools
Required Skills & Qualifications
  • Bachelor's degree in accounting, finance, or related field
  • 2+ years hands-on bookkeeping experience in retail or e-commerce setting
  • Experience working in or with the jewelry industry is advantageous
  • Payroll experience is beneficial
  • Proficiency in QuickBooks Online (QBO) and experience using Bill.com are required
  • Comfortable with Microsoft Excel and able to learn new tech quickly
  • Detail-oriented, organized, and able to manage multiple tasks independently
  • Excellent communication skills, both written and verbal
  • Self-starter with an ownership mentality and passion for continuous improvement
