Job Requirements:

Satellite Office is seeking a Office Support Services Director to join our team. As a key member of our Facilities Management Help Desk, you will be responsible for ensuring the efficient and effective management of our internal facilities services.

About the Role:

  • You will manage workflow through our FM help desk, ensuring all contact tasks are handled efficiently, consistently, and to a high standard.
  • Liaise with landlords regarding their obligations under lease agreements and coordinate facility services, including HVAC, cleaning, waste management, pest control, security, electrical, and general maintenance.
  • Handle incoming calls and manage outgoing calls for stores, external suppliers, trades, and service companies.
  • Engage with external suppliers and landlords to follow up on overdue works and communicate updates to internal stakeholders.

Key Responsibilities:

  • Ensure the team provides the best possible customer experience by reviewing work orders and administrative tasks.
  • Follow up on complaints and ensure the team adheres to all policies and procedures related to their roles.
  • Understand DLP periods and equipment under warranties, quotation processes, and delegated authorities.
  • Routine review of fire services audit reports and address defects identified through the engagement of external contractors.
  • Support Facilities Managers with data collation and reporting to aid in supplier management.

Requirements:

  • A minimum of 3 years' prior experience in delivering facilities services or in a similar role is essential.
  • Prior experience with Customer Service and vendor management is mandatory.
  • Experience within the retail sector is preferred.
  • Strong communication and negotiation skills are required.
  • Experience implementing new initiatives and change management processes is beneficial.
  • IT literacy (knowledge of Microsoft products) is necessary.
  • Fantastic communication skills and a can-do attitude are essential.
  • Willingness to work on-site in BGC, Taguig City is required.
