Healthcare Document Retrieval Expert

Our organization is seeking a detail-oriented and organized professional to fill the role of Healthcare Document Retrieval Expert.

The ideal candidate will have experience working with healthcare providers, strong analytical skills, and excellent communication abilities. This position plays a pivotal part in ensuring accurate and efficient medical record retrieval for our clients.

The successful candidate will be responsible for:

  • Determining relevant healthcare providers associated with a client's treatment.
  • Locating billing providers and related entities using tools such as Chartswap, prior request history, and direct provider calls.
  • Inputting all identified providers into an admin application.
  • Reviewing and correcting incoming Release of Information (ROI) forms, which are often incomplete or incorrect.
  • Creating accurate base forms before assembling final submission packets.
  • Conducting thorough quality assurance checks for each ROI packet, ensuring all required components are accurate and complete.
  • Assigning requests to appropriate records team members based on workload and utilization metrics.
  • Identifying and escalating provider-specific requirements to the appropriate Client Success Manager (CSM).
  • Resolving missing or conflicting information by liaising directly with the law firm's case manager.
Requirements
  • Experience: Prior experience requesting health records from providers on behalf of healthcare companies or law firms.
  • Attention to Detail: Extreme accuracy is essential, as errors can cause delays in retrieval.
  • Technical Skills: Proficiency in Adobe Acrobat and PDF editing/combining tools.
  • Communication: Strong verbal and written communication skills with a proactive problem-solving mindset.
