We are seeking a highly organized and detail-oriented Customer Service Coordinator to support our sales, project management, and accounting teams in ensuring smooth end-to-end order fulfillment.

Key Responsibilities:
  • Process and track customer orders with accuracy and efficiency.
  • Assist in preparing product specifications, pricing research, and vendor discussions.
  • Manage new customer and vendor forms for approval.
  • Support the development of client proposals as needed.
  • Verify and manage manufacturer orders, ensuring accuracy in details and specifications.
  • Utilize ERP software to manage order processing and documentation.
  • Work with project specifications and cap worksheets to create and review product details.
  • Follow up on order status, delivery schedules, and issue resolution to ensure smooth operations.
  • Maintain and update the order tracking system, providing regular reports.
  • Coordinate and confirm deliveries and installations with warehouses and client representatives.
  • Track warehouse receiving of products and ensure proper documentation.
  • Ensure client satisfaction by assisting with final approvals and addressing any concerns.
  • Process invoices and maintain well-organized project files.
Requirements:
  • Excellent English communication skills – both verbal and written.
  • Strong interpersonal skills – ability to interact effectively with clients and internal teams.
  • Highly organized with strong project management skills – able to manage multiple tasks efficiently.
  • Tech-oriented and comfortable with technology – must quickly adapt to various software tools.
  • Experience with ERP software is required.
  • Basic understanding of project specifications and familiarity with cap worksheets or similar tools.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to meet deadlines and work efficiently under pressure.
