Job Overview

The role requires a high level of organization, attention to detail and excellent communication skills. Key responsibilities include scheduling meetings, preparing agendas, managing email inboxes and coordinating travel arrangements.

Key Responsibilities:
  • Schedule internal and external meetings and syncs
  • Prepare detailed itineraries for executives
  • Manage Gmail inboxes for 4-6 executives
  • Flag high-priority emails and draft responses when necessary
  • Track follow-ups and maintain inbox clarity
  • Coordinate domestic and international travel arrangements
  • Arrange lunch meetings, team events and other logistical needs
  • Assist with project management and task tracking
  • Manage document filing systems via Google Drive or Notion
  • Coordinate with internal teams via Slack and email
  • Follow up with vendors, clients or team members as needed
Requirements:
  • Minimum 2 years of executive-level support experience
  • Experience supporting multiple executives or founders simultaneously
  • Strong organizational skills and attention to detail
  • Proficient in Gmail, Google Calendar, Google Docs and Slack
  • Comfortable working independently and maintaining confidentiality
  • Excellent written and verbal communication skills
  • Familiarity with Notion, Zoom or basic project management tools
  • Experience in a tech startup or SaaS environment is a plus
