Key Responsibilities:

  • Front Desk Management:
    • Greet and welcome visitors in a friendly and professional manner.
    • Answer phone calls, direct them to the appropriate person, and take messages when necessary.
    • Manage incoming and outgoing mail and packages.
  • Administrative Support:
    • Perform general office duties such as filing, photocopying, and scanning documents.
    • Maintain office supplies and reorder as necessary.
    • Assist with scheduling appointments and coordinating meetings or events.
  • Document Management:
    • Prepare, organize, and file documents for easy access and retrieval.
    • Assist in maintaining digital and paper filing systems.
  • Customer Service:
    • Provide excellent customer service to clients, visitors, and staff.
    • Handle inquiries and resolve minor issues or direct them to the appropriate team member.
  • Office Organization:
    • Maintain the cleanliness and organization of the front desk and common office areas.
    • Ensure office equipment, such as phones, printers, and computers, is in working order.
  • Communication:
    • Communicate effectively with internal teams and external clients or partners.
    • Relay important messages or updates to staff as needed.
  • Support to Other Departments:
    • Assist other departments with administrative tasks as needed (e.g., preparing reports, organizing meetings).
    • Help with HR-related tasks like maintaining employee records or coordinating interviews.
