Executive Assistant Job Description

This role involves providing comprehensive support to a principal of a dynamic family office with significant investments in Private Equity, Venture Capital, and other diverse asset classes. The ideal candidate will be highly organized and proactive, with exceptional organizational and time management skills.

Responsibilities:

  • Extensive Travel Management: Coordinate and book complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries, ensuring efficiency and cost-effectiveness.
  • Email and Calendar Management: Proactively manage and prioritize a demanding executive calendar, scheduling meetings, appointments, and calls. Efficiently manage email correspondence, drafting responses, flagging urgent matters, and organizing the inbox.
  • Procurement and Research: Conduct thorough research for various personal and professional purchases, identifying optimal solutions, negotiating with vendors, and managing the procurement process from inquiry to delivery.
  • Comprehensive Administrative Support: Handle a wide range of administrative tasks, including preparing presentations, organizing documents, managing expenses, maintaining organized filing systems (digital and physical), and handling confidential information with the utmost discretion.
  • Investment Support (Preferred): Assist with light research related to investment opportunities, prepare summary documents, organize investor materials, and maintain confidentiality regarding sensitive financial information.

Requirements:

  • At least 5 years of experience as an Executive Assistant supporting senior executives, preferably within a fast-paced environment.
  • Prior experience in Private Equity, Venture Capital, Investment Banking, or a similar financial services environment is highly preferred.
  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant productivity tools.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • High level of discretion, professionalism, and integrity when handling confidential information.
  • Proactive, resourceful, and able to anticipate needs and act independently.
  • Ability to work flexible hours when required to accommodate executive travel and urgent matters.
