
Senior Event Planner

We are seeking a highly organized and detail-oriented Senior Events Coordinator to join our team. In this role, you will be responsible for coordinating logistics and events for our distributed workforce.
Key Responsibilities:- Coordinate event and offsite logistics, including venue sourcing, contract routing, catering, A/V, travel, shipping, F&B, and day-of schedules.
- Build clear planning artifacts, such as timelines, run-of-show, checklists, and planning documents, and keep stakeholders aligned on milestones and responsibilities.
- Manage vendors, invoices, and contracts, including negotiating within guardrails, reviewing contracts, and ensuring accurate processing of all contracts, POs, and invoices.
- Serve as the first point of contact for attendee inquiries with a customer-first mindset, manage travel and registration, draft and send event communications, produce post-event recaps, and leverage AI to standardize briefs, comms, and run-of-show variants.
- Be the calm presence on-site supporting events, seamlessly managing setup, signage, registration, and troubleshooting in-the-moment needs.
- 3-5 years of experience in events coordination, operations, or hospitality.
- Impeccable organization and attention to detail, comfortable juggling multiple timelines and priorities.
- A bias for action and getting things done, anticipating needs and solving issues before they escalate.
- Strong written and verbal communication skills.
- Knowledge of event, vendor, and budget basics, making disciplined cost-control decisions and providing clear ROI-based tradeoff recommendations.
- Proficiency with collaboration, PM, and event tools, actively using AI to speed research and drafting.
