Front Desk Coordinator

As a key member of the Multi-Line Corp. team, the Front Desk Coordinator will serve as the first point of contact for visitors and callers, creating a positive impression and ensuring efficient communication.
Key Responsibilities
- Present a professional image of the organization to visitors and callers, providing a warm and welcoming atmosphere.
- Ensure seamless communication between internal staff and external contacts, both in person and over the phone, utilizing effective communication skills and technology.
- Provide assistance and information to visitors, helping them navigate the facility and directing them to the appropriate individuals or departments, while maintaining confidentiality and discretion when necessary.
- Efficiently handle incoming and outgoing calls, ensuring callers are directed to the right people and messages are relayed promptly, utilizing a professional and courteous tone.
- Schedule appointments and meetings for staff members and manage conference room reservations as needed, utilizing calendars and scheduling tools effectively.
- Receive and distribute mail and packages, notifying recipients of arrivals and ensuring timely delivery.
- Assist with general administrative tasks, such as sorting documents, providing research data using company-assigned laptops, and other tasks as assigned, while maintaining a high level of accuracy and attention to detail.
Requirements
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups and individuals.
- Proficiency in Microsoft Office and other productivity software, with the ability to learn new systems and technologies quickly.
- Ability to work in a fast-paced environment, with a high level of adaptability and flexibility.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion, when necessary.
