
Administrative Support Specialist

Job Summary:
We are seeking a highly organized and detail-oriented Program Coordinator to join our team. The successful candidate will be responsible for providing administrative support, data entry, and project-based tasks as assigned by the Program Manager.
Key Responsibilities/Task
- Manage the general mailbox, responding to hiring manager and supplier inquiries in a timely and accurate manner, researching independently for resolution as needed.
- Assist the Program Manager, Specialists, Hiring Managers, and Suppliers during all stages of requisition and contingent worker management processes, including follow-up on requisition approvals, interview scheduling, onboarding, and offboarding of workers.
- Support Onboarding & Offboarding activities, ensuring all onboarding steps are completed accurately and on time, including background checks, compliance documentation, system access setup, and Day 1 readiness.
- Offboard employees, ensuring all termination activities are completed, including badge returns, system deactivations, and offboarding documentation.
- Prepare and distribute weekly/monthly dashboards and ad hoc reports for client and internal use.
- Monitor Power BI and VMS dashboards regularly, documenting any anomalies and proactively escalating potential issues as needed.
Requirements:
- High School Diploma
- 1-3 years' work experience as a recruiting assistant, staffing coordinator, or administrative assistant
Technical Requirements:
- Proficient with Microsoft suite of products and Adobe
- Knowledge of VMS, HRIS, or ATS systems
Soft Skills:
- Team player
- Time management and multi-tasking skills
- Attention to detail and high accuracy
- Strong follow-up skills - ability to honor and meet deadlines
- Good communication skills (Written and Verbal)
- Minimal travel required
