About this Role

We are seeking a highly skilled and organized Executive Assistant to provide top-notch support to our Chief Operating Officer.

This is an excellent opportunity for someone who is detail-oriented, proactive, and possesses exceptional communication skills. As an Executive Assistant, you will be responsible for managing calendars, scheduling meetings, and coordinating travel arrangements.

In addition to these tasks, you will also be responsible for maintaining operational dashboards using tools like Notion and Airtable, tracking ongoing projects, and following up on deadlines.

Key Responsibilities:
  • Calendar and Communications:
    • Manage the COO's calendar, prioritizing tasks and ensuring timely follow-up
    • Schedule meetings, confirm logistics, and send reminders as needed
  • Project and Task Management:
    • Track ongoing projects, highlight potential roadblocks, and ensure timely completion
    • Maintain accurate records of project progress and outcomes
  • Meeting and Documentation Support:
    • Attend key meetings, take detailed notes, and summarize action items
    • Prepare high-quality meeting materials, including agendas and presentation decks
  • Administrative and Personal Task Execution:
    • Coordinate travel arrangements, including flights, hotels, and itineraries
    • Handle administrative tasks, such as gift sourcing and bill payment
    • Liaise with vendors and support team operations as needed
Requirements:
  • Minimum 3 years of experience supporting a senior executive in a fast-paced environment
  • Excellent written and verbal communication skills, with the ability to craft polished emails and reports
  • High level of organization and attention to detail, with the ability to prioritize tasks and manage competing demands
  • Strong technical skills, with proficiency in tools like Slack, Google Workspace, Zoom, Notion, and project management software
