Operations Coordinator

This role is perfect for individuals who excel in structured environments and enjoy working collaboratively.

Key Responsibilities:
  • Task 1: Ensure publisher contact details are up-to-date and accurate.
  • Task 2: Consolidate duplicate publisher records or aliases in CRM systems.
  • Task 3: Correspond with publishers during onboarding—coordinate link building, pixel testing, and billing verification.
  • Task 4: Track, document, and support new publisher launches, tests, and turn-downs with Publisher Managers.
  • Task 5: Ensure publisher property information is correctly logged and up-to-date.
  • Task 6: Request and store benchmark stats for performance projections.
  • Task 7: Process test orders for new accounts and assist with troubleshooting as needed.
Campaign & Asset Management:
  • Task 8: Request, review, and store publisher media kits and placement samples.
  • Task 9: Ensure creatives match publisher specs and requirements.
  • Task 10: Coordinate internal review, feedback, and approvals for placement comps.
  • Task 11: Store client-approved creatives and keep live documentation current.
  • Task 12: Generate and distribute tracking links, ensuring proper setup and communication.
  • Task 13: Request postback integrations, piggyback pixels, and manage testing workflows.
Billing & Financial Coordination:
  • Task 14: Liaise with finance teams to communicate billing terms and project details.
  • Task 15: Ensure insertion orders are in place for all billing needs.
  • Task 16: Monitor and log billing changes and opportunities in the project management system.
Project & Process Management:
  • Task 17: Maintain clean data in project management and CRM platforms.
  • Task 18: Monitor automations and troubleshoot any issues to keep workflows running efficiently.
  • Task 19: Maintain internal documentation, templates, and tracking logs.
  • Task 20: Support internal communications to ensure priorities are clear and processes are followed.
