Financial Operations Manager

The ideal candidate will be responsible for overseeing the entire spectrum of financial activities, encompassing account reconciliation, payment monitoring, contract and payroll administration, and application assessment.

Key Responsibilities:
  • Ensure daily, weekly, and monthly reconciliations across all business accounts are accurate and efficient.
  • Maintain and enhance financial data integrity, compliance, and inter-company balancing; ensure seamless integration with Xero and external payment platforms.
  • Record outcomes in Zoho CRM systems (e.g., payment schedule adjustments and assessment outcomes).
Account Reconciliation & Reporting
  • Perform daily, weekly, and monthly reconciliations across all business accounts to align Xero, payment platforms, and business records.
  • Manage inter-company transactions and reconciliations to balance books across entities.
  • Support end-of-month and end-of-year reporting with reconciled data, schedules, and supporting documentation.
Invoice & Payment Processing
  • Approve and process customer and operational invoices in Xero, ensuring accuracy and timeliness.
  • Manage supplier payments, expense reimbursements, and payment scheduling aligned with cash flow priorities.
  • Maintain and update the chart of accounts as needed for reporting requirements.
Loan & Contract Administration
  • Create and edit customer payment schedules based on variations, cancellations, upgrades, or early payouts.
  • Assess applications for B2B contracts, verifying financial viability and compliance with business criteria.
  • Register and discharge PPSR as required and document all contract-linked transactions.
Collections & Customer Finance Support
  • Monitor overdue accounts and support collections activities with operations and management teams.
  • Process dishonour fees, administrative charges, and other account adjustments as needed.
  • Maintain accurate financial and contact data for customers in Xero and integrated systems.
Systems & Process Management
  • Maintain and enhance the integration between Xero and external payment platforms to ensure accuracy and efficiency.
  • Identify opportunities for automation, reporting improvements, and process optimization.
  • Liaise with external accountants for audits, compliance checks, and ad hoc requests.
