Senior Accounting Specialist

Job Description:

As a Financial Coordinator, you will be responsible for overseeing all accounting operations. This includes managing complex financial operations across multiple systems, leveraging AI and automation to optimize processes, and ensuring 100% accuracy in financial reporting and compliance.

Key Responsibilities:

1. Complete financial management and reporting

2. Multi-platform e-commerce reconciliation (hundreds of Shopify stores)

3. Manufacturing cost accounting and job costing

4. Cash flow management and strategic support

5. Team leadership and process optimization

6. AI implementation for accounting automation

Financial Management & Reporting:

• Complete Monthly Financial Close - Deliver accurate and timely financial statements within 10 business days
• Multi-System Data Management - Oversee data flow between Traverse (accounting), Impress (manufacturing ERP), and Shopify platforms
• Advanced Financial Reporting - Prepare and analyze: Income Statements with department/product line detail, Cash Flow Statements and projections, Balance Sheets with variance analysis, Job Costing reports from manufacturing operations, Budget Management, and Cash Flow Optimization

E-commerce Operations:

• Multi-Store Shopify Reconciliation - Reconcile revenue and cash deposits across hundreds of Shopify stores
• Payment Processing Management - Ensure accurate reconciliation of Shopify Payments, PayPal, and other payment processors
• Multi-State Sales Tax Management - Comprehensive responsibility for state registration and enrollment, nexus monitoring, tax calculations and filings, compliance updates, exemption management, and revenue recognition

Manufacturing & Cost Accounting:

• Job Costing Analysis - Work with Impress ERP to track production costs and job profitability
• Inventory Management - Oversee inventory valuation, cycle counting, and cost of goods sold calculations
• Production Variance Analysis - Analyze material, labor, and overhead variances

Process Optimization & AI Implementation:

• AI-Driven Automation - Gradually implement AI tools to automate bank reconciliations, invoice processing and categorization, expense management, financial reporting processes, SOP development, and process improvement

Leadership & Compliance:

• Team Management - Direct supervision of Staff Accountant and any future accounting team members
• Compliance Oversight - Ensure adherence to GAAP, tax regulations, and internal controls
• Audit Support - Coordinate and support external audit processes

Required Skills & Qualifications:

• Bachelor's Degree in Accounting, Finance, or related field REQUIRED
• CPA or International Equivalent strongly preferred
• Minimum 7-10 years progressive accounting experience with at least 3 years in controller/senior management role
• Manufacturing/E-commerce Experience - 5 years in manufacturing or e-commerce accounting is NICE TO HAVE

Technical Requirements:

• ERP Systems - Advanced experience with Traverse, Impress, NetSuite, or similar integrated ERP systems
• E-commerce Platforms - Extensive Shopify experience with multi-store management and reconciliation
• Multi-State Sales Tax - Proven experience with US state sales tax compliance, registrations, and multi-jurisdictional filings
• Tax Software - Experience with sales tax automation tools (Avalara, TaxJar, or similar) and state filing systems
• Microsoft Office Suite - Expert level Excel, advanced PowerBI or similar analytics tools
• AI/Automation Tools - Experience implementing accounting automation and AI solutions
• Multi-Currency/Multi-Entity - Experience with complex, multi-location financial operations
