Job Opportunity

The role of Administrative Assistant involves providing support to the team, ensuring seamless day-to-day operations and maintaining a high level of productivity. The ideal candidate will possess strong organizational skills, be proficient in Microsoft Office Suite, and have excellent communication and problem-solving abilities.

Key Responsibilities:
  • Client Job Management: Manage client job documents, upload and download files from the client portal, and ensure timely notification to clients and tax preparers as needed.
  • New Client Onboarding Process: Welcome new clients, assign Lacerte Tax ID numbers, set up client portals, and send engagement letters.
  • Task Tracking and Completion: Track assigned tasks in tax dome status dashboards and complete them accordingly.
  • Client Research and Data Collection: Gather client information, including Statements of Information, business licenses, SOS#, EIN, DOB, SSN, and add new entities to the client software (tax dome).
  • Tax Return Preparation and Submission: Assemble client tax returns, send them to clients for review, and e-file when signatures and payment are received.
  • Accounts Receivable and Payable Management: Monitor aging reports, track client invoices, process payments, and reconcile postings daily.
  • Collections and Dispute Resolution: Run aging reports, contact clients to resolve disputes, and escalate issues to supervisors as needed.
Requirements:
  • A Bachelor's degree in Accounting or Finance.
  • 1+ year of project management experience and 3-5 years of administrative experience.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite.
  • Ability to work independently with minimal supervision.
