We are looking for a person to manage office administrative tasks and support our learning and development function. In this role, the candidate is expected to combine strong attention to detail with an ability to multi-task and work under pressure. Candidate must have financial acumen, be trustworthy, customer-centric, agile, and data-driven, with a demonstrated history of problem-solving, event coordination, and project management. The ideal candidate will be competent in prioritizing and working with little supervision.

WHAT IS THE JOB LIKE

Office Administration

  • Identify, implement, monitor, and manage various administrative initiatives and projects in the department.
  • Conduct process improvement as needed and ensure Digital Transformation Office (DTO) members have adequate support to work efficiently.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Coordinate schedules for DTO-wide events with external and internal stakeholders, VIPs.
  • Maintain an inventory of office supplies and technical equipment and place orders when necessary.
  • Manage and process payments and contracts of vendors, supplies, subscriptions, travel arrangements, etc. Handle accounts receivable and ensure invoices are paid.
  • Support budgeting and coordinate with finance for cash advances, petty cash, etc.
  • Manage time spent reports and procedures.
  • Create and update records and databases of personnel data.
  • Submit timely reports and prepare presentations/proposals as assigned
  • Implement and monitor safety protocols.
  • Manage new employee onboarding (Launchpad program, secure tools of the trade, coordinate with HR, etc.).
  • Participate and support all DTO projects and initiatives.

Learning & Development Support

  • Training administration and coordination for DTO learning programs and communities.
  • Assist in developing training programs.
  • Assist in training development, delivery, evaluation, and monitoring.
  • Maintain training records (e.g., trainee lists, schedules, attendance sheets)
  • Training logistics (e.g., book classrooms and ensure they're correctly set-up) and transportation (as needed). 
  • Prepare and submit reports on training activities and results.
  • Recommend improvements or new programs.
  • Knowledge capture and management (document and store training videos and materials for repurposing)
  • Facilitate assigned training programs, Launchpad modules, socials and team-building activities.
